Toronto Wikiclub has been successful with larger gatherings (Wikipedia Day 2026, spring photowalk to the Toronto Islands). Based on feedback from our attendees, they desired more regularly scheduled events. This proposal is to gauge interest in smaller, informal gatherings that require less resources from organisers to plan and execute.
This informal session is based on informal events prepared by Wikimedia UK and Wikiclub New York City such as Wiki-Wednesdays and "editing practice, support and cuppa" events. Participants could drop-in to the location during the event and speak with experienced wiki editors to learn how to edit the projects. We would also disseminate information about upcoming events, conferences and initiatives.
The proposed budget is for 20 attendees: if there are fewer, the costs will be adjusted accordingly on the day off (less food/drink will be ordered). No alcohol purchases will be expensed for this proposal (although participants can order alcohol from the establishment, using their own funds).
The event is scheduled to take place on Saturday, April 18 at 3:30pm at the Duke of Cornwall pub in Toronto.

On April 18, 2026, WikiClub Toronto held their first informal editathon since after the COVID pandemic. It is unknown if the club did a similar event in their pre-2020 iteration.
This event was mostly organised by me: I took suggestions on locations, but the suggested places didn’t respond to emails inquiring about booking or menu, so they were not chosen. While I might explore those locations in the future, for this event I went with a location that I was familiar with because I had attended other events there. I asked for suggested dates of the WikiClub Toronto Planning Team, but ultimately decided to take the English Wikipedia concept of BEBOLD and pick the date myself. Afterwards, I ensured that there were no concerns with the date (for example, holidays or events I might not be aware of).
The venue was very accommodating of phone calls and inquiries: they are not busy on weekends so they were able to accommodate the group easily. This venue is probably not available for a weekday event, but I think there are other venues that could be used instead. We had editors from the UTSC area in Scarborough, Six Points in Etobicoke, the Junction, Eglington-Yonge, and North York Centre. The location was a central location for attendees, but they also stated that they would be willing to go to a location that was further north (so long as it has subway access).
I budgeted approximately $100 but only spent ~$80: in hindsight, I probably could have ordered one more appetizer but I was concerned with going over budget. I only bought appetizers and did not get drinks for the table, due to a struggle from the venue to accommodate that. I think attendees were happy to buy their own specialty drinks if they wanted. Some attendees also bought their own dinner during the event. In the budget, I forgot to account for tip, so that will have to be included in future budgets for a venue like this.
Ten editors signed up to attend on the event page: eight of these Wikimedians attended, one removed their name before the event, one did not attend, and an extra Wikimedian attended without signing up (although they are on the WikiClub Toronto Planning Team so we were not concerned about this). Most attendees were experienced Wikipedians, mostly editors from the English Wikipedia project. They were interested in discussing Wikipedia governance, improving the project with academic sources and wikiconferences.
A similar informal event will probably be planned for August, as I am already planning a formal event for June. While lots of people are encouraged to help with planning clubs, ultimately, it is easier to plan an event if one person is in charge and delegates the tasks. This prevents lots of planning meetings and confusion over who will accomplish which task. I hope that other members will ultimately plan an event themselves, and don’t mind sharing how I organised this with others. I also hope that this kind of event can be exported to other cities, as it is a lower-effort planning event that is cheap to run: no room booking fee was required which has been our biggest expense in the past, and we did not have to obtain food and drink from locations beforehand because we bought them from the venue. This is also the type of event I could run in other Canadian cities that I visit: if I am somewhere else, I can organise an event like this easily and see if that starts a WikiClub conversation there.
